ADMINISTRATIVE ASSISTANT
Monday – Friday
8:00 am – 5:00 pm 
$20.00 - $25.00 per hour
 
ESSENTIAL JOB FUNCTIONS
 
  • Projects a professional image when representing company to the customer, applicants or drivers when speaking on the phone or in person. 
  • Making sure all dispatched, manual, and third-party tickets are entered in Chorus and the Drop box by month end. As an exception may key tickets directly to NVC (excel sheets). 
  • Communicates any ticket changes in Chorus after month end to the team so NVC is updated. 
  • Daily review of dispatch exceptions, active orders and open orders to ascertain if crude tickets are entered accurately with respect to volumes, gravity, temperature, load, unload locations and other ticket data entered by driver or through a manual ticket. Be sure any tickets in Picked Ip status in Blue are not stuck on the drier’s tablets. Weekend ticket activity is caught up each Monday. 
  • Coordinates with Katy office to ensure all tickets are entered, proofed for accuracy and ready to download no later than the 4th of each month end. 
  • Weekly monitors driver Unapproved Payroll making corrections and then Runs driver payroll making sure pay rates, FSC and axillary charges are accurate and approved by the appropriate managers. Driver payroll must be submitted for approval NLT the 4th and 19th of each month. This involves working on weekends 3 to 4 a year. 
  • Compiles third party transporters invoices or payroll to invoice the transporter and verify the loads are charged properly. Verifies all 3rd party tickets match Chorus tickets. 
  • Tracks and follows up Station Logs on each transfer location to be sure tickets are entered into Chorus and month ending inventory and analyze volume over/shorts, reconcile logs, and ensure the tank gauges track properly. Provides Month end reports for each transfer or storage location to Operations Manager. Reports are submitted by the 5th of each month. 
  • Analyze and research truck volume over/shorts from ticket data. 
  • Communicates directly with ticketing software and support personnel to solve any issues related to the ticketing software. Reports status to the Operations Manager by email. 
  • Filing, organizing, typing, editing and/or proofing documents. 
  • Communication with drivers or Owner Operators pertaining to insurance, companies, or government agencies to complete paperwork during vetting, hiring and termination process. 
  • Perform background checks on drivers and processing new employees by email, verbally or over the phone. 
  • Functions as the Company DER (Designated Employee Representative) to administer and maintain Endeavor’s Drug Testing program in accordance with regulations and direction from management. 
  • Exhibits a high level of trust when working with confidential files. You may be exposed to personal and/or work-related financial information that must be kept confidential. 
  • Keeps managers and Katy office informed on work/project status by email, text, or verbal communication to ensure established weekly or monthly targets are met on time. 
  • Works autonomously with minimal supervision assisting Operations, Driver/Dispatch managers and accounting to complete tasks. 
  • Travel to Post office or UPS to mail items or packages. May purchase office supplies or services with company money to stock the office. 
  • Tracks and reports maintenance costs on trailers or other company equipment. 
  • Communicates work schedules and time off along with time sheets to Operations manager. Details of daily tasks or work are to be provided on time sheets. 
  • May delegate certain tasks to another admin assistant to complete monthly tasks or deadlines. 
  • Performs other duties as assigned. This position will evolve with technology and market conditions. 
 
 
JOB REQUIREMENTS
 
  • High School Diploma is required. 
  • College classes related to office equipment, software, communication and internet skills is desirable. 
  • Experience performing clerical office work is required with knowledge of the oilfield desirable.
  • MS Office product competency required. With emphasis in Excel and knowledge of formulas. Excel knowledge must be on the Intermediate level to use moderately complex Excel functions. Advanced formula usage (e.g., VLOOKUP, INDEX-MATCH), Data sorting and filtering, Pivot table creation and manipulation and conditional formatting. 
  • Ability to copy material both text, scanned data and images from the internet into Outlook, Word or Excel is required.
  • Ability to use Google or various search engines to locate data from the internet or government agencies. 
  • Must become proficient in W Energy Software, a Dispatcher Application and ticketing system. Keeps up with software updates to maintain proficiency in ticketing systems.
