ESSENTIAL JOB FUNCTIONS
- Greet and direct visitors and customers in a courteous and professional manner.
- Schedule appointments and make referrals as needed.
- Answer incoming calls and respond to emails.
- Perform data entry and maintain filing systems for accounts payable, purchase orders, equipment inventory, and confidential personnel files.
- Sort, record, and distribute incoming and outgoing mail and packages.
- Assist with maintaining financial records, including accounts payable/receivable.
- Prepare reports, forms, and other documents for meetings, mailings, and correspondence.
- Support office operations and perform additional duties as assigned.
JOB REQUIREMENTS
- High School Diploma or GED preferred.
- 1–3 years of clerical or administrative experience preferred.
- Must be able to lift up to 10–25 pounds occasionally.
- Friendly and professional communication skills.
- Strong attention to detail and ability to proofread.
- Proficiency in Microsoft Office Suite.
- Experience with QuickBooks required; Fishbowl software a plus.
- Familiarity with accounts payable, receivable, and bank reconciliation.
- Basic knowledge of office equipment and clerical systems.
- Able to prioritize tasks, work independently, and troubleshoot issues effectively.
