Job Description

Monday – Friday
8:00 am - 5:00 pm
$60k- $75K per year, DOE
  • Assist the president /CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
  • Communicates with general staff on president slash CEO's behalf and coordinates logistics with high level meetings both internally and externally
  • Support president /CEO and his slash her external commitments related to company, including service answering phone calls and taking messages
  • Performs clerical and administrative tasks including drafting emails, letters, memos, invoices, reports and other documents for CEO
  • Schedules and attends meetings on the behalf of CEO, taking notes performs office task including maintaining records, ordering supplies, and performing basic bookkeeping
  • Managing scheduling and appointments
  • Arranging meetings and other events
  • Managing mail / fax communication
  • Managing traditional paper and or electronic filing systems 
  • Setting managing the daily schedule in calendar of CEO
  • Preparing and/or editing documents such as expense reports, memos, and invoices
  • Creating spreadsheets, managing databases, preparing presentations
  • Managing video conferencing, fax communication and office equipment 
  • Performs additional duties assigned by the CEO
  • strong interpersonal skills and ability to build relationship with stakeholders, including staff, board members, and external partners 
  • Ability to work independently and with professional discretion 
  • Excellent writing, editing, grammatical school skills
  • Excellent management time management and problem solving skills
  • Excellent organizational skills and attention to detail
  • Ability to function well in high paced and stressful environment
  • Extremely proficient in Microsoft Office Suite or similar software with the ability to learn new or updated software
  • High school diploma required Bachelor’s degree in business administrative or related field preferred
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • At least four years providing support for upper level management
