PRODUCTION OFFICE ASSISTANT
Monday – Friday
8:00 am – 5:00 pm
ESSENTIAL JOB FUNCTIONS
- Given out production supplies as needed to all employees.
- Review and production log tracking sheets & Create Labor Fcst for various Depts.
- Review and create production Reports
- Log Labor Tracking sheets
- Every other Monday prints out ADP Timesheets, turn in Tuesday.
- Wednesday review and create headcount.
- Create any excel projects
- Create worklists every month for production
- Update Maps every Monday for all departments.
- Production Schedule every Monday
- Create PO’s
- Data Entry for all Labor Forecast
- Data Entry for production metrics
- Support temp/contract paperwork and hours
- Order production supplies
- Translate documents and/or meetings in Spanish.
- Responsible for checking and helping employees and helping with new hire paper work
- Support Business Manager/Payroll with any HR questions employees need help with (ex. Address change, W4 changes, insurance questions/enrollment, times in ADP) as well as accidents and personal
- Supervise housekeeping (Under Business Manager)
- Order cleaning supplies for all nursery
- Amazon ordering for Production office (any office supplies, printer paper, ink)
- Schedule maintenance to office equipment
- Receiving shipments, packages, etc.
- Assist with Office Administrative Projects as needed
- Inventory Support
- Check Master Pick Tickets for any location changes.
- Receive Work orders and post in internal database system as needed.
- Create signs for new operational needs
- Create Tags for departments as needed
- Support Inventory Specialist with any inventory transaction change
- Availability report update for various departments
JOB REQUIREMENTS
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite or related software.
- Ability to organize and prioritize work.
- Two to five years of experience in an administrative role
- Bilingual English/Spanish required
- Write, speak and translate documents into Spanish
